Privacy Policy

1. Introduction

Welcome to MyCasesHub ("Company", "we", "our", "us"). We are committed to protecting your privacy and handling your data in an open and transparent manner.

This Privacy Policy describes our policies and procedures on the collection, use, and disclosure of your information when you use our website, community platform, and services (the "Service") and tells you about your privacy rights and how the law protects you.

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

2. Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

  • Account means a unique account created for you to access our Service or parts of our Service.
  • Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to MyCasesHub.
  • Cookies are small files that are placed on your computer, mobile device, or any other device by a website, containing the details of your browsing history on that website among its many uses.
  • Country refers to: United States
  • Device means any device that can access the Service such as a computer, a cellphone, or a digital tablet.
  • Personal Data is any information that relates to an identified or identifiable individual.
  • Chrome Extension refers to the MyCasesHub browser extension available on the Chrome Web Store.
  • Service refers to the MyCasesHub website and Chrome Extension.
  • Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service, or to assist the Company in analyzing how the Service is used.
  • Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
  • You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

3. Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. This includes, but is not limited to:

  • Email address (when creating an Account)
  • Mobile phone number (optional, only if you choose to enable SMS notifications)
  • Display name and username (for your community profile)
  • Profile picture (optional, uploaded by you)
  • USCIS Case Receipt Numbers that you provide for tracking
  • Community content including posts, comments, and interactions you create or participate in

When using our Chrome Extension specifically, we may collect:

  • USCIS Case Information read from the USCIS website when you are logged in
  • Authentication Session Information (accessed but not stored) to retrieve your case details from USCIS
  • Website Content from USCIS.gov pages you visit while using the extension (case status, processing times, notices)
  • Hub memberships and community participation data

Usage Data

Usage Data is collected automatically when using the Service.

Usage Data may include information such as your Device's Internet Protocol (IP) address, browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.

Tracking Technologies and Cookies

We use Cookies and similar tracking technologies to track the activity on our Service and store certain information. We use these for purposes such as:

  • Necessary / Essential Cookies: To authenticate users and prevent fraudulent use of user accounts.
  • Functionality Cookies: To remember choices you make (e.g., your login details, language preference).
  • Tracking and Performance Cookies: To track information about traffic to the website and how users use the site.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain our Service: Including tracking your USCIS case status, enabling community features, and monitoring the usage of our Service.
  • To manage your Account: To manage your registration as a user of the Service and maintain your community profile.
  • To enable community features: To display your posts, comments, and interactions within the community platform, and to facilitate communication with other users.
  • To contact you: To contact you by email, or by SMS text message if you have opted in to SMS notifications, regarding case status updates, community notifications, or informative communications related to the functionalities, products, or contracted services.
  • To provide you with news and general information about our services, community updates, and events.
  • For moderation purposes: To monitor community content, enforce community guidelines, and maintain a safe environment for all users.
  • For data analysis: We may use your information for data analysis, identifying usage trends, and to evaluate and improve our Service, products, services, and your experience. All case data used for broader analysis (e.g., processing time trends) is anonymized and aggregated.

SMS / Text Message Notifications

If you opt in to SMS notifications, we collect and store your mobile phone number and use it solely to:

  • Send you a one-time verification code to confirm ownership of the number.
  • Send you text message alerts when the status of a case you track changes.

SMS notifications are strictly opt-in. You will only receive text messages after you provide your phone number, verify it with a one-time code, and enable the SMS notification setting in your account.

We use Twilio, Inc. as our SMS delivery provider. Your phone number and the content of the notification messages are shared with Twilio solely for the purpose of delivering those messages to you. Twilio processes this information under its own privacy policy and acts as a service provider on our behalf.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding the aggregators and providers of the text message services (such as Twilio) necessary to deliver the messages.

Opting out: You can stop receiving SMS notifications at any time by replying STOP to any message we send, or by turning off SMS notifications (or removing your phone number) in your account's notification settings. After you reply STOP, we will no longer send you SMS messages unless you re-subscribe. Reply HELP for help.

Message frequency varies based on your tracked cases' activity. Message and data rates may apply depending on your mobile carrier and plan.

Retention of Your Personal Data

We will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain your Personal Data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies.

  • Account Data: Your case numbers and profile information will be stored until you delete them or delete your account.
  • Phone Number: Your verified phone number is stored until you remove it from your notification settings or delete your account, at which point it is deleted from our systems.
  • Community Content: Posts and comments you create will remain in the community unless you delete them. However, if you delete your account, your content may remain but will be anonymized.
  • Moderation Records: Records of community guideline violations may be retained for safety and moderation purposes even after account deletion.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to, and maintained on, computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ. Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.

Delete Your Personal Data

You have the right to delete or request that we assist in deleting the Personal Data that we have collected about you.

  • Account Deletion: You may delete your case numbers, profile information, or your entire account at any time from your account settings page.
  • Content Deletion: You can delete your individual posts and comments from the community at any time.
  • Data Removal Request: You may contact us at cs@mycaseshub.com to request the permanent deletion of your data. We will respond to your request in a timely manner.
  • Important Note: Some community content may remain visible even after deletion for the integrity of ongoing discussions, but will be anonymized and disassociated from your account.

Disclosure of Your Personal Data

We do not sell or rent your Personal Data. We may disclose your Personal Data in the good faith belief that such action is necessary to:

  • Comply with a legal obligation.
  • Protect and defend the rights or property of the Company.
  • Prevent or investigate possible wrongdoing in connection with the Service.
  • Protect the personal safety of Users of the Service or the public.
  • Protect against legal liability.

Security of Your Personal Data

The security of your Personal Data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

4. Chrome Extension Specific Privacy

Data Collection and Usage

Our Chrome Extension is designed with privacy in mind and follows these principles:

  • Limited Scope: The extension only operates on USCIS.gov domains
  • Minimal Permissions: We only request the minimum permissions necessary to function
  • Local and Synced Storage: Case tracking data is stored locally in your browser for quick access, and case status read by the extension may also be synced to MyCasesHub servers to power your case tracking and aggregated, anonymized trend analysis
  • No Background Page Tracking: The extension reads page content only on USCIS.gov, and only when you ask it to check a case. It does not observe any other site you visit. See "Usage Analytics" below for the separate, limited usage data we collect about the extension itself
  • Session Data: We access but do not store your USCIS login session; it's only used temporarily to retrieve your case information

Usage Analytics

The extension sends limited usage data to Google Analytics so we can tell how often it works and where it fails. We record the following events:

  • Opening the extension popup, along with how many cases you have saved
  • Adding or removing a case, along with its form type (for example I-485) and how many cases you have saved
  • Starting a case status check, along with the form type
  • The outcome of a check, such as success, a USCIS outage, an expired sign-in, or a case that is not in your USCIS account
  • Opening the MyCasesHub results tab after a successful check

Your case receipt numbers, your name, your USCIS case details, and your login session are never sent to Google Analytics. Only the counts and category labels listed above are sent.

To count returning users rather than raw events, the extension generates a random identifier the first time it runs and stores it in your browser under analyticsClientId. It is not derived from anything about you and we cannot use it to identify you. It is kept in Chrome's synced storage, so it follows your Chrome profile across devices where you are signed in to Chrome. Removing the extension, or clearing its storage, discards it.

The extension's popup and options pages also load fonts from Google Fonts, which makes your IP address visible to Google in the same way visiting any site that uses Google Fonts does.

Chrome Web Store Declarations

In compliance with Chrome Web Store policies, we declare that our extension:

  • Does NOT sell user data to third parties
  • Does NOT transfer user data to third parties, except where it is required to provide or improve the extension itself: your case data goes to MyCasesHub servers so we can display and track it, and the anonymous usage events described under "Usage Analytics" go to Google Analytics so we can measure reliability. No case data is included in the latter
  • Does NOT use user data for purposes unrelated to the extension's single purpose (tracking USCIS cases)
  • Does NOT use or transfer user data for creditworthiness determination or lending purposes

Data Types Handled by the Extension

The Chrome Extension handles the following data types:

  • Personally Identifiable Information: USCIS case receipt numbers
  • Authentication Information: USCIS website login sessions (accessed but not stored)
  • Website Content: Text and data from USCIS.gov pages
  • User Activity: Which extension buttons you use and whether each case check succeeded, as described under "Usage Analytics". This covers interactions with the extension only, not your activity on any website

Browser Storage

The extension stores only two things, both in Chrome's synced extension storage:

  • The case receipt numbers and form types you have added, so it knows which cases to check
  • The random analyticsClientId described under "Usage Analytics"

The extension does not keep a copy of your case status results. Each check is fetched fresh from USCIS and handed to MyCasesHub, so there is nothing cached in the browser to view offline.

Case status data read by the extension may be transmitted to and stored on MyCasesHub servers to provide case tracking and to improve our aggregated, anonymized analytics. We retain and let you delete this data under the terms described in Section 3 (Retention of Your Personal Data and Delete Your Personal Data).

5. Children's Privacy

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13.

6. Links to Other Websites

Our Service may contain links to other websites that are not operated by us. If you click on a third-party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit.

7. Changes to this Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top.
